Phone systems with voicemail
A much maligned feature of phone systems is the voicemail.
Voicemail can do so much more than simply take a message on your desk phone, although his is it’s the most common feature.
1. Auto attendant – an automated way to answer the phone to direct your call to the correct department or person. Perhaps the most maligned phone system function. Auto attendants, when designed correctly can save companies a lot of money by not needing a dedicated phone receptionist (or most commonly a person can be re-deployed to do more worthwhile tasks).
Auto attendant on telephones need to be simple, with a few options ideal 3 – with even fewer or no sub options.
We have to resist the temptation of business owners to use there new phone stem toy to go crazy with the auto attendant options.
2. Modern phone systems can now record calls to your voicemail box at the touch of a button. Useful for poor quality calls from mobiles or abroad, or for momo-ing a live call with lots of detail. Smartinfo use this function to good effect in a large doctors surgery, back office reception staff often have to make notes of drug lists from pharmacists over the phone, with one touch recording the calls can easily be reviewed, or forwarded to the practice GPs.
3. Voicemail boxes can be set on did numbers or departments
4. Customer Pin numbers can be set on auto attendant options, for instance on tech support lines, VIP lines, out of hours lines.
